Managing Vehicles

Your central hub for all vehicle information, from license plates to maintenance history.

What is Vehicle Management?

The Vehicle Management page is the heart of your fleet's inventory. Think of it as a detailed digital file for every car, truck, or piece of equipment your company owns. It's the central place where all information about a vehicle is stored and managed throughout its lifecycle.

Why is it Useful?

Imagine you need to quickly find out which vehicles are due for service, which ones are assigned to a specific branch, or the full maintenance history of a truck that has broken down. Vehicle Management makes this possible.

  • Centralized Information: Keeps all vehicle data in one easy-to-access place.
  • Improved Maintenance: Track odometer readings and purchase dates to schedule preventative maintenance.
  • Accountability: Know every vehicle's specifications, ownership details, and current status.
  • Informed Decisions: Use detailed vehicle data to make better decisions about fleet upgrades and retirements.

The Vehicles Page

Path: /vehicles

When you navigate to the vehicles page, you will see a list of all the vehicles in your fleet.

Searching and Filtering the List

The list can be long, so using the search and filter tools is essential.

  • Global Search: At the top of the list, there is a search bar. You can type almost anything here—a license plate, a chassis number, a vehicle model, or even a contact person's name—to instantly narrow down the list.
  • Advanced Filters: For more specific queries, you can use filters. For example, you could filter to see only:
    • Vehicles with the Status "In Repair".
    • All vehicles of the Type "Heavy Truck".
    • All vehicles from the Make "Toyota" that are from the Year "2023".

Exporting the Vehicle List

Sometimes you need to work with your vehicle data offline or in another application like Microsoft Excel. The export function allows you to download your entire vehicle list as a file.

Why Export Your Data?

  • Offline Analysis: Analyze your fleet data in a spreadsheet to create custom charts and pivot tables.
  • Third-Party Integration: Import your vehicle list into accounting or other business software.
  • Custom Reports: Create your own reports for stakeholders who don't have access to OmniFleet.

How to Export

  1. On the Vehicles page, above the vehicle list, look for the Export button.
  2. Click the Export button. A dropdown menu will appear.
  3. Select your desired file format, such as CSV or PDF.
  4. The file will be generated and will begin downloading to your computer.

How to Manage Vehicles

Adding a New Vehicle

When you add a vehicle, you'll be guided through a simple three-step wizard.

  1. Navigate to the Vehicle List page.
  2. Click the + Add Vehicle button.
  3. Complete the wizard by filling in the fields below.

Editing a Vehicle

  1. From the vehicle list, find the vehicle you wish to modify.
  2. Click the icon for that row.
  3. Select Edit from the menu.
  4. Modify the details in the same three-step wizard.
  5. Click Update Vehicle to save your changes.

Viewing Vehicle History

  1. Find the vehicle in the list.
  2. Click the icon.
  3. Select View History to see a complete, time-stamped log of all changes, assignments, and services related to this vehicle.

Deleting a Vehicle

  1. Find the vehicle in the list.
  2. Click the icon.
  3. Select Delete .
  4. Confirm the deletion. Warning: This action is permanent and cannot be undone.
